What you type twenty times a day, typed once
This is not about automating away the human part. It is about nobody having to type "confirmed for Thursday at six" a hundred and twenty times a month.
Quote Fixed, within two working days
A surprising share of the work in a small business consists of copying one piece of information from one place to another: from WhatsApp to the diary, from the diary to the quote, from the quote to the invoice, from the invoice to the accountant’s inbox. Nobody designed it that way; it accumulated.
Before automating anything we count how much time goes into each of those hops. If it comes to less than two hours a week, we tell you it is not worth it and we both save a project. If it comes to five, the sum does itself.
What we build leans on what you already use — WhatsApp, email, the calendar, your invoicing — rather than asking your team to learn a new program that nobody will open in three months.
What gets automated
-
WhatsApp Business wired to the site
The booking or the form comes in through the site and the confirmation goes out over WhatsApp, from your business number with approved templates. No personal phones involved.
-
Confirmation and reminder
On booking, and the day before. It is the highest-return automation that exists for anyone working by appointment, and it costs the same to install for ten appointments as for a thousand.
-
Enquiry to quote
The form arrives with the answers in order, and the quote comes out with the details already filled in. You approve and send; nobody retypes a tax number by hand.
-
Payment to invoice
Payment taken, invoice issued with the record Verifactu requires, copy to the customer and copy to the accountant. In one movement.
-
Alerts to the team
What happens lands in the channel you are already in — a group, a shared inbox — rather than on a dashboard somebody has to remember to open.
-
A record of all of it
Every message sent is stored with its timestamp. When a customer says they were never told, that is worth more than anyone’s memory.
How it gets built
Three to five weeks, and the first one goes on counting rather than coding.
-
A week watching how you actually work: what gets typed by hand, how many times, and how long it takes.
-
We pick the three automations with the best return and write the rest down for later, if later comes.
-
WhatsApp Business registration and template approval, which takes a few days and is not in our hands.
-
Two weeks running in parallel: the automatic version working with a person watching, until the surprises stop.
What decides the price
Here the quote comes out of the count rather than a tariff: we measure how long each step currently done by hand takes, and decide what is worth automating. If it comes to less than two hours a week, we say so and do not build it. Separately there is what WhatsApp charges per conversation, which is Meta’s tariff — we explain it beforehand and you pay it directly: we do not resell it.
-
How many hours it genuinely saves
The first measurement, and the one that decides whether there is a project at all. Two hours a week is the floor below which we do not recommend it.
-
How many automations
The first three return the most. Anything beyond that is quoted separately, once it is clear it is needed.
-
What systems it has to talk to
Your invoicing, your calendar and your till connect if they have an API. We check in the first week and tell you before quoting.
-
WhatsApp Business registration
Verifying the number and getting templates approved takes a few days and is not in our hands. Usage you pay Meta directly, at their rate.
Who it is for
Who it is not for
- If the hours do not add up, we do not build it. Automating twenty minutes a month is a cost, not an investment.
- If what you want is to send bulk promotions over WhatsApp, that has strict rules and it annoys people: we do not do it.
- If every customer of yours is a different case with no repeated step, there is nothing to automate, and that is good news.

Questions about automation
If your question isn’t here, write to us and we’ll answer it. Contact
Do I need the WhatsApp Business API?
To send automatic confirmations from a system, yes. That is the business version, with your number verified and templates approved by Meta. The ordinary WhatsApp Business app is for typing by hand, not for this.
What does WhatsApp charge?
Meta charges per conversation started, at a rate that varies by type and country. We work out the figure against your real volume before starting, and you pay Meta directly: we do not resell it or add a margin.
Does this not make the service colder?
What we automate is the part that was already copy-and-paste: confirming, reminding, sending the invoice. The time that frees is exactly the time you can spend talking to people. If an automation starts replacing a conversation that matters, it is in the wrong place.
Does it work with the invoicing software I already use?
In most cases yes, if it has an API or can export. We check in the first week and, if it cannot, we tell you before quoting rather than after.
What if something fails while I am closed?
Every automation has a failure alert that reaches a person, not a log nobody reads. That is the difference between finding out in ten minutes and finding out from an angry customer on Monday.
