Firms and practices

Stop being a line in a directory

A client wants three things before writing to you: whether you handle their matter, how you charge, and what happens in the first meeting. If they can’t find them, they write to the next firm.

In a professional directory you are a line. Your name, your specialism, and directly underneath, twelve other firms saying exactly the same thing in a different typeface. None of it explains why you charge what you charge.

The client looking for you has already read three articles and asked in a group chat. What they want to know before writing to you is specific: whether you handle their kind of matter, how you charge, and what happens in the first meeting. If they can’t find it, they write to the next one.

We work with lawyers, tax and employment advisers, architects and surveyors, engineering practices, gestorías, consultancies and expert witnesses. The brief is nearly always the same: stop competing on price against someone who isn’t doing the same work as you.

What we build for a firm or a practice

Fees stated, or at least explained

You don’t have to publish a fixed rate for every matter, but you do have to explain how you charge: by the hour, by the act, on account, or on a monthly retainer. Firms that explain it lose the calls from people who wanted something else — which is half of them.

  • How each type of matter is charged, with a range where there is one
  • What the first consultation includes and whether it costs, said before booking
  • Payment on account and how you invoice, without euphemisms
  • Which matters you don’t take, which filters better than any form

A first consultation that arrives pre-filtered

The first meeting is the product. If it arrives with the matter identified and the basic paperwork on the table, it takes half as long and is worth twice as much. That comes from a form that asks by type of matter, not from an empty text box.

  • Questions branching by area of law, so you know what is coming through the door
  • Appointments with the real duration and the channel, in person or video
  • A list of documents to bring, different by type of matter
  • Conflict-of-interest checking before the meeting is accepted

Published judgement, which is what sets you apart

The only thing separating a firm from a line in a directory is what it thinks. One well-written note on a change in the law brings exactly the client who is suffering from it, and keeps bringing them two years later.

  • Notes and commentary, each citing the instrument it is about
  • Matters and rulings explained without identifying anyone
  • A page per practice area, written for the person with the problem, not for a peer
  • Team profiles with registration, training and the languages they work in

A way in that doesn’t compromise privilege

A law firm’s contact form will, sooner or later, receive an email containing things that should not travel that way. It gets built with that in mind: asking for little, saying plainly what not to send yet, and storing the minimum.

  • A form that asks for the type of matter, not the whole account
  • An explicit warning not to attach sensitive documents at first contact
  • Data on servers in the European Union, and deletion by default of what isn’t taken on
  • A separate channel for anything needing stronger confidentiality

Tax and employment practice in Les Corts, four people

Clients arriving by referral and through a paid directory, and a first meeting that went on explaining fees to people shopping for the cheapest rate. The brief was to filter before the meeting rather than during it.

Comerç package shape, plus monthly maintenance. Fixed quote in two working days

  1. A page per practice area: sole-trader tax, companies, payroll and inspections
  2. Fees explained per service, with monthly retainer and a range
  3. A form branching by area, with documents to bring and a confidentiality warning
  4. Appointments in person or by video call, with the real duration
  5. A complete legal notice with registration and applicable professional rules

What the rules require, and where they say it

For a professional practice the website is itself a professional act, and it carries the profession’s obligations. These are the ones most often missing.

  • Identifying the provider

A professional offering services online must publish their identifying details and, for a regulated profession, the professional body, registration number and the applicable professional rules. In practice that is a complete legal notice, not a line in the footer.

  • Professional privilege at first contact

The duty of confidentiality does not begin when the engagement letter is signed: it covers what the client says before that. A form inviting someone to narrate everything on the first screen is an unnecessary risk, which is why we don’t build them that way.

  • Anti-money-laundering, where you are a regulated party

Lawyers, tax advisers and other professionals are regulated parties for certain transactions, with client identification duties. If client acquisition starts on the website, the onboarding process should account for that from the beginning.

  • Client data and processors

Email, the document manager and the e-signature tool are processors and each needs its contract. It is the boring part of the GDPR and also the first thing looked at in an inspection.

Who this page is for

  • Lawyers and court agents, sole practitioners or small firms
  • Tax, employment and accounting advisers, and gestorías
  • Architects, surveyors and engineering practices
  • Consultancies, expert witnesses and mediators
  • Private practices that work by engagement rather than by volume

What we won’t tell you

  • To publish a fixed rate for everything. For many matters you can’t, and promising it backfires.
  • To write an article a week. Four well-written notes a year outperform forty pieces of filler.
  • To publish named client testimonials. In professions with a duty of confidentiality that is done very carefully or not at all.

Questions from firms and practices

Do I have to publish my fees?

Publishing a fixed rate isn’t required and for many matters isn’t possible. Explaining how you charge is worth doing: by the hour, by the act, on account or on a retainer, with a range where there is one. That is what prevents the meeting with someone who wanted something else, which is where the unbillable time goes.

Is a contact form safe for a law firm?

It is if it is built to ask for little. Ours asks the type of matter and warns explicitly against attaching sensitive documents at first contact; the data sits on servers in the European Union and anything not taken on is deleted. For matters needing stronger confidentiality a separate channel is opened rather than the general inbox.

Can I write about matters I have handled?

Carefully, and without identifying anyone. Explaining the mechanism of a matter — what was in dispute, which argument worked — is what demonstrates judgement and compromises nobody. What we don’t recommend is a named testimonial in a profession with a duty of confidentiality.

How long before this brings me clients?

The fast part is filtering: from the first month you get fewer and better enquiries, because the fees and the practice areas are stated. The slow part is ranking by practice area, which moves over months. Anyone promising you the second one in weeks is not looking at your sector.

What do people always ask before they instruct you?

Tell us which areas you work in and how you charge. We’ll tell you which pages you need so that’s all said before the first meeting.
