Stop the diary having holes in it

A slot that goes empty without warning is never recovered. Online booking with a reminder is the one thing that measurably prevents it.

An empty slot is a perishable product. If half past eleven on Tuesday goes unsold, it doesn’t sell later: it is gone, and so is the rent and the wage for that half hour.

The paper diary and WhatsApp work until they don’t. Peak hour is exactly when you can’t answer the phone, and the message saying someone isn’t coming arrives too late to fill the gap.

We work with hairdressers and barbers, beauty and nail salons, physiotherapy and podiatry, dental practices, psychology and nutrition. The brief is almost never “a website”: it is stopping the diary from having holes in it.

What we build for a practice with a diary

Appointments per service and per practitioner

An appointment isn’t booked against an abstract hour: it is booked against the real duration of a specific service with a specific person. That is the difference between a diary that adds up and one you rebuild by hand every morning.

  • Real duration per service, including setup and cleaning time
  • A separate diary per practitioner, with their days off and their holidays
  • Room or equipment blocking where the resource is the constraint, not the person
  • Booking in two taps from a phone, with no account and no password

The automatic reminder, which is what fills the gap

A reminder isn’t a nicety: it is the one measure that reduces no-shows measurably, and it works because it carries a link to move the appointment in one tap instead of forcing a phone call.

  • Email confirmation on booking and a reminder the day before
  • A link to move or cancel without calling — which is what frees the slot in time
  • A waiting list that notifies the first person when an hour opens up
  • An alert to the practitioner when someone cancels inside twenty-four hours

The diary synced with the one you already use

Nobody wants to check two calendars. The site’s diary syncs with the calendar you already keep, and blocking runs both ways so nothing can be booked over something already taken.

  • Sync with Google Calendar and with iCal calendars
  • Two-way blocking: what you take in your own calendar stops being offered
  • Export of the day’s list to print or to carry on a phone
  • A direct link to the client record, if you already run practice software

Prices and team, which is what gets compared before anyone calls

The decision to try a new place is made comparing three browser tabs. The one that wins says the price, shows who will see you and explains what the session includes — not the one with the nicest photo.

  • A published price per service, with no “ask us for a quote”
  • A profile per practitioner with their qualification and registration number where it applies
  • What each session includes and how long it takes, said before booking
  • A finished Google Business Profile, with real hours and photos of the place
One project, with its numbers

Physiotherapy practice in Sant Gervasi, three practitioners

Appointments by phone and WhatsApp, a shared paper diary, and roughly one session in eight going empty without enough warning to refill it. The brief was to stop losing those sessions without hiring someone to answer the phone.

Comerç package shape, plus monthly maintenance. Fixed quote in two working days

  1. Appointments per service and per practitioner, with each session’s real duration
  2. A day-before reminder with a one-tap link to move the time
  3. A waiting list that notifies the first person when someone cancels
  4. Diary synced with the Google Calendar they already used
  5. The reason for the visit kept out of email and SMS, as health data

What the rules require, and where they say it

In this trade the delicate part isn’t the website: it is the data. We set it up so the diary doesn’t create a problem you didn’t have before.

  • Health data is a special category

If the reason for the appointment reveals health data — physiotherapy, podiatry, dental, psychology — the GDPR treats it as a special category, with a stricter lawful basis and more security obligations. In practice: the reason never travels in an email subject line or an SMS reminder.

  • Healthcare premises: authorisation and registration

A practice or healthcare centre needs administrative authorisation and appears on the corresponding register. If your site says you are a healthcare centre, the authorisation number should be published and should be the one on record.

  • Advertising healthcare services

Healthcare advertising cannot promise outcomes or use testimonials implying an effectiveness that can’t be supported. That is why we don’t build “before and after” galleries on these sites without proper context.

  • Official complaints form

Premises open to the public in Catalonia must hold official complaint forms and say so visibly. On the website that is a notice and a link, not something buried in the footer.

Who this page is for

  • Hairdressers, barbers, and beauty and nail salons
  • Physiotherapy, osteopathy, podiatry and massage therapy
  • Dental practices and private medical consultations
  • Psychology, speech therapy and nutrition
  • Practices with more than one practitioner and shared rooms or equipment

What we won’t tell you

  • To change your practice software. If yours works, the site connects to it or lives alongside it.
  • To publish “before and after” shots of everything. Healthcare advertising has limits and it isn’t worth the risk.
  • That online booking will fill your week on its own. It fills the gaps you lose today, which is plenty.

How we work

Half an hour, in person in Barcelona or over video. You tell us about the business and we tell you whether we can help.

What you get
A straight answer on whether this makes sense for you, said out loud and without hedging.
What we need from you
Half an hour, and for you to tell us what you sell, who buys it, and what is costing you money now.
How long it takes
30 minutes

Questions from salons, practices and clinics

If your question isn’t here, write to us and we’ll answer it. Contact

Can I keep taking appointments by phone?

Yes, and most people do. A phone appointment goes into the same diary, so there aren’t two books to reconcile. What changes is that the hours you lose today because nobody can pick up at eleven now book themselves.

Do reminders go by SMS or WhatsApp?

By email as standard, which costs nothing per message. SMS can be added and costs per send; WhatsApp requires the business API and approved templates, so we only build it when the volume justifies it. In all three, the reason for the visit never travels in the message.

Where is my patients’ data stored?

On servers in the European Union, with the reason for the visit separated from the rest so a reminder can’t reveal health data. If yours is a healthcare centre, the clinical record stays in your practice software: the site stores the appointment, not the history.

What if I have two locations?

One site, one diary per location, and each location gets its own page with its address, hours and team. What we don’t do is duplicate the same page with a different district name in it: that doesn’t rank, and it confuses the person searching.

How many hours went empty last month?

Tell us how many of you there are and which services you offer. We’ll tell you what diary you need and what it costs, within 48 working hours.
