Verifactu, without the panic and without the rush
Invoicing software that cannot be altered, with a hash and a QR code on every invoice. Companies in January 2027, sole traders in July. You prepare early, not the week before.
The regulation requires invoicing software that cannot alter its own records, with a chained hash and a QR code on every invoice. Companies from 1 January 2027; sole traders and everyone else from 1 July 2027.
Verifactu is not a product you buy: it is a set of requirements your invoicing has to meet. The short name refers to the mode in which each invoice is sent to the tax agency at the moment it is issued.
Three things matter. Invoicing records cannot be changed or deleted without leaving a trace. Each record carries the hash of the previous one, forming a chain that exposes any gap. And the invoice comes out with a QR code that allows it to be checked.
The alternative to sending in real time is keeping signed records available to the tax agency. Both modes are valid; the first removes retention work, the second lets you keep working offline.
Who it applies to
Anyone issuing invoices in Spain who is not already inside the Immediate Supply of Information regime. Which means: almost every small business, companies and sole traders alike. The only thing that changes with legal form is the date.
What happens if you don’t
The General Tax Act penalises holding invoicing systems that don’t meet the requirements, and penalises those who build or sell them more heavily still. It is not a fine for one bad invoice: it is for the system.

What we do
What it means in your trade
-
Bars and restaurants
If the till issues receipts and simplified invoices, it is the till that has to comply, not the website. What we do check is that collection orders and deposit-paid bookings issue a compliant invoice, because that is you taking money online.
-
Neighbourhood retail and services
An online shop issues invoices and so is squarely inside this. Issuing, numbering and retention get sorted, and we check that what comes out of the site and what comes out of the till aren’t running two clashing series.
-
Salons and clinics
The invoice for a session usually comes out of practice software, not the website. The point is not to end up with two systems issuing: if the site takes the booking payment, either it issues compliantly or it hands the payment to the software that already does.
-
Trades and workshops
A quote accepted on the website has to become a compliant invoice without being retyped. In vehicle workshops the written advance quote is a sector obligation in its own right anyway.
-
Tourism and nautical
A deposit taken up front is a payment that has to be invoiced, often in another language and to a customer in another country. It gets set up with the series, the tax breakdown and retention all handled.
-
Firms and practices
Payments on account and fee notes normally come out of the firm’s own software. If the website charges for a first consultation, it either issues compliantly or hands the payment to the system that already invoices.
Questions about Verifactu
If your question isn’t here, write to us and we’ll answer it. Contact
Do I have to change invoicing software?
Not necessarily. Many vendors are adapting their products and an update is enough. The first thing we do is check whether yours has announced an adaptation and in which version; only if there isn’t one do we discuss changing, and then we tell you to what and at what cost.
Does it affect me if I only issue receipts?
A simplified invoice — what is usually called a receipt — is still an invoice for these purposes. If your till issues it, your till has to comply. If you also sell online, the website is in scope on its own account.
What if I invoice four times a year?
The requirement doesn’t depend on volume: it depends on whether you issue invoices. The good news is that at low volume the adaptation is usually trivial, and often it is solved by the tool your accountant already uses.
Why set this up now if the date is 2027?
Because the date has already moved twice and people have stopped watching it, and because adapting invoicing the week before is exactly when the expensive mistakes happen. If we are touching your site or your shop anyway, doing it costs nothing extra.
What do you invoice with right now?
Tell us which software or till you use and whether you are a company or a sole trader. We’ll tell you whether an update is enough, which date applies to you, and what would need touching.
