WhatsApp Business, used properly

It is the channel your customers are already on. It is also where somebody’s patience runs out fastest. Here is the line between the two.

The short answer

The WhatsApp Business app is free and designed for typing by hand, with quick replies and a simple catalogue: enough for a one- or two-person business. The API is paid, charges per conversation depending on type, and is what lets a booking confirmation go out by itself from your website. What is worth automating is confirmations, reminders and status updates. What must never be done is sending promotions to a list of numbers collected casually: here that is unlawful, not merely annoying.

App or API: which one is yours

The WhatsApp Business app installs on a phone, is free, and gives you a business profile, hours, quick replies, labels and an away message. If you answer personally and the volume is manageable, you need nothing else and should not pay for anything else.

The API is a different animal: it is not an app but a connection between your system and WhatsApp. It is what you need for a booking made on your site to trigger a confirmation with nobody typing it, for several people to handle the same number, and for everything to be logged.

The signal to move is usually one of two: more than a couple of dozen conversations a day, or more than one person answering the same number and tripping over each other.

What it costs

The API has no WhatsApp line rental: Meta charges per conversation started, at different prices by conversation type and country. Service messages inside a conversation the customer opened are usually treated differently from ones you start with a template.

For a small business that normally lands at a small monthly figure, but the sum has to be done against your real volume before building anything, and it should be clear that the money goes to Meta directly. If a supplier resells it with a margin and will not show you the tariff, ask why.

What to automate and what not to

What works, and what nobody complains about receiving: immediate confirmation of a booking or order, a reminder the day before with a cancellation link, notice that the order is ready or the engineer is on the way, and an out-of-hours message saying when you answer.

What does not: bulk promotions, "we miss you" messages, anything arriving without the person having done something. This is not only a question of taste. Sending commercial communications by electronic means in Spain generally requires prior authorisation, and your customers’ numbers are personal data with everything that entails.

The practical rule we use: if the message responds to something the person just did, automate it. If the message exists because you want to sell today, write it yourself, and ask first whether you should.

  • Immediate confirmation: yes
  • Day-before reminder with one-click cancellation: yes
  • Order or service status update: yes
  • Bulk promotion to a list: no, and it carries penalties

Common questions

If your question isn’t here, write to us and we’ll answer it. Contact

Can I use my personal number?

Technically yes, in the app. In practice you should not: it mixes your life with the business, it cannot be shared among several people, and the day somebody leaves the team the number leaves with them. A business number costs little and avoids all three.

Do templates have to be approved?

Yes, messages you initiate through the API go through a Meta review. It is usually quick, but prepare them at the start of the project rather than the day before launch, because a rejection costs a couple of days.

Can I have a bot answering?

Yes, and for repeated questions it works well, provided it says it is an assistant and hands over to a person as soon as it does not know. A bot that keeps trying when it has not understood is the fastest way to lose a customer over WhatsApp.

How do I get permission to message them?

On the same form where you collect the number, with a tick box separate from the booking itself and in plain words: what for, how often, and how to stop. Separate, not pre-ticked, with a stored record of who ticked it and when.

We will wire it into your site

Booking, confirmation, reminder and status update going out by themselves over WhatsApp. We work out the cost against your volume before building anything.
